Position Summary
The Operations Support Specialist is a flexible, detail-oriented professional who provides administrative and operational support across the organization. This role supports multiple staff members, helps keep committee work and meeting logistics on track, and contributes to smooth day-to-day office operations.
This position is ideal for someone who enjoys variety, works well independently, and takes pride in being a reliable problem-solver and support partner for a busy team.
What This Role Will Do
· Support staff with scheduling, document preparation, meeting coordination, and routine administrative needs.
· Help keep committee work and meeting logistics on track by managing assigned meeting logistics and follow-up tasks.
· Assist with reports, spreadsheets, presentations, templates, filing systems, and records management.
· Help support office operations, including supplies, mail, room setup, and general administrative coverage.
· Contribute to projects, events, and process improvements as needed, taking ownership of assigned tasks and follow-through.
What We're Looking For
· Experience in administrative support, operations support, or office coordination. Associate's degree or equivalent combination of education and relevant experience preferred. 3-5 years of experience in administrative support, office operations, coordinator, specialist, or similar support roles preferred.
· Strong organizational skills and attention to detail.
· Ability to handle multiple priorities and follow through consistently.
· Strong communication skills and a service-oriented mindset.
· Proficiency in Microsoft Office and Teams.
· Good judgment, adaptability, and a collaborative approach.
Preferred Background
· Experience supporting committees, boards, or volunteer groups.
· Experience in an association, nonprofit, healthcare, or professional office environment.
Travel Required:
All AANEM staff are required to work at the annual meeting. This event is held in the fall of each year, at a different location. All staff fly to and from the meeting(s) depending on the location. Additional travel may be required based on job responsibilities.
Annual Meeting Duties:
At the annual meeting, must be able to work long hours, move quickly between locations, handle stressful situations, stand, walk, stoop/kneel/crouch/crawl, handle objects with hands, and lift or push objects between 25-50 pounds.
