Overview

The Marketing Coordinator provides essential tactical and administrative support to the marketing team, working collaboratively alongside the Marketing Manager and Marketing Specialist to execute organizational campaigns. This role blends hands-on marketing delivery with day-to-day administrative coordination. Responsible for the execution of routine marketing tasks—including social media scheduling, email formatting, asset organization, and basic campaign reporting—the Coordinator ensures deadlines are met and marketing collateral is deployed smoothly. It is an ideal role for an execution-focused professional who thrives on keeping projects organized while directly contributing to creative output.

Position Relationships:

· Reports to the Marketing Manager

· Works with other departments to develop content and messaging that helps them achieve their goals

· Interacts with Board and committee members, AANEM members, and potential members

Duties and Responsibilities:

Core Responsibilities

1. Campaign & Project Support (Asana)

  • Request Collaboration: Monitor the marketing project inbox and Asana board alongside the team; serve as a helpful point of contact for internal departments requesting marketing services.
  • Asset Gathering: Review project requests to ensure all initial assets (copy, imagery, deadlines) are collected and organized before the creative team begins production.
  • Calendar Maintenance: Assist in maintaining the master departmental marketing calendar, tracking task deadlines to help keep team projects moving forward smoothly.

2. HubSpot Execution & Social Media Scheduling

  • Social Media Execution: Schedule approved social media posts across AANEM and ANF channels, utilizing the creative assets and strategy provided.
  • Database Maintenance: Perform regular data-entry and maintenance within HubSpot CRM, including merging duplicate records and updating member preferences to ensure data integrity.
  • List Coordination: Pull and segment targeted mailing lists for various campaigns, ensuring that the team has the correct audience for email deployments.

3. Digital Content & Campaign Logistics

  • Email Deployment Support: Assist with the practical logistics of email deployment, including setting up basic templates, performing mobile responsiveness testing, and scheduling final sends as directed by the Marketing Manager.
  • Metric Assistance: Assist the team in gathering performance metrics by pulling monthly data on email open rates, click-through rates, and membership growth trends for team review.

4. Departmental Administrative Support

  • Vendor Coordination: Act as a point of contact for external vendors (printers, mail houses, etc.) to coordinate the production and delivery timelines of physical marketing pieces.
  • Committee Support: Provide administrative assistance for marketing-related committees, including scheduling meetings, preparing folders, and distributing agendas and minutes for approval.

5. Event & Annual Meeting Logistics

  • On-Site Support: Provide hands-on logistical support for marketing activities and promotional efforts during the Annual Meeting and other organizational events.
  • Collateral & Materials Management: Coordinate the shipping, inventory, and organization of marketing materials, signage, and promotional items for all events.

Education and Experience

  • Bachelor’s degree in Marketing, Communications, Business Administration, or a related field; or 1–3 years of equivalent professional experience in a coordinator, marketing support, or administrative role.

Required Skills/Abilities

  • Software Proficiency:
  • Project Management: Proficiency in Asana (or similar tools like Monday.com or Trello) is preferred.
  • CRM/Marketing Automation: Experience with or exposure to HubSpot (specifically list management and social scheduling) is a significant plus.
  • General Office: Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
  • Organizational Skills: High attention to detail and strong organizational habits, with the ability to manage multiple small tasks concurrently.
  • Key Competencies:

Working Conditions:

For those working in the Rochester Office, nearly all work is performed in a comfortable indoor facility. The position frequently involves having to meet deadlines, shifting quickly from on task to another; changes in the nature or volume of work; coordinating activities with other employees; and handling the stress of competing priorities.

Physical Requirements: The employee is regularly required to sit, reach, talk, hear, and occasionally be able to lift boxes, merchandise, etc. up to 15 pounds. Prolonged periods of sitting at a desk and working on a computer.

Vision Requirements: Ability to see information in print and electronically; ability to identify and distinguish colors to proof work on web site and print material; close vision for working in front of computer screens and working on print material.

Travel Required: All AANEM staff are required to work at the annual meeting. This event is held in the fall of each year, at a different location. All staff fly to and from the meeting(s) depending on the location. Additional travel may be required based on job responsibilities.

Annual Meeting Duties: At the annual meeting, must be able to work long hours, move quickly between locations, handle stressful situations, stand, walk, stoop/kneel/crouch/crawl, handle objects with hands, and lift or push objects between 25-50 pounds.
